Privacy Policy

Effective [EFFECTIVE DATE]

This policy explains what [LEGAL ENTITY NAME] (“HogWired”, “we”) collects through the HogWired app at app.hogwired.pro and this website, why, who processes it for us, how long we keep it, and the choices you have.

1. Two roles we play

For our customers’ business data we are a service provider (processor). A fiber contractor that subscribes to HogWired (“Customer”) decides what jobs, clients, crew members, photos and documents to put in the app. We process that data only to provide the service to that Customer. If you are a homeowner, resident or crew member whose information is in a Customer’s account, contact that company first; we will help them answer your request.

For account holders and website visitors we decide how data is used (controller). That covers sign-in details, billing contacts, and messages sent through our contact form.

2. What we collect

  • Account details: name, email, phone, company, role, and a hashed password.
  • Customer business data: jobs, addresses, client and site contacts, schedules, footage and billing rates, photos, documents, 811 ticket numbers, time entries, expenses, and notes.
  • Crew location: only when a crew member turns on location sharing, and only while they are clocked in. We record position, accuracy, heading, speed and time about once a minute, and the time they agreed. Photos taken in the app may record where they were taken.
  • Billing: Stripe collects card details directly; we receive the plan, status and the last four digits, never the full card number.
  • Messages: text messages and emails your company sends to its customers through HogWired, with delivery status.
  • Technical data: browser type, device information, IP address and error logs, kept by our hosting providers for security and troubleshooting.
  • Website contact form: name, email, company, message, browser type, and a one-way hash of your IP address used only to limit spam.

3. Why we use it

  • To run the service: scheduling, dispatch, documentation, billing and the client portal.
  • To read uploaded work orders and bid documents with AI so fields can be filled in for you to review.
  • To bill subscriptions, extra seats and metered scans.
  • To send account, security and service emails.
  • To keep the service secure, prevent abuse, and fix problems.
  • To answer support requests and contact-form messages.

We do not sell personal information, share it for cross-context behavioral advertising, or use Customer business data to train AI models. Our AI provider processes uploaded documents only to return the result to us.

4. Text messages

Customers can send their own customers job updates by text. Each Customer is responsible for having consent to text the people it messages. Messages include opt-out instructions; replying STOP stops further texts from that number, and HELP returns contact details. Message and data rates may apply. Mobile numbers and SMS consent are never shared with third parties for marketing.

5. Who processes data for us

We use these service providers under contracts that limit their use of data to providing their service.

We may also disclose information if the law requires it, to protect people’s safety, or as part of a merger or sale of the business, in which case this policy continues to apply.

6. How long we keep it

  • Crew location history: 72 hours, then deleted automatically.
  • Customer business data: while the Customer’s account is open, then deleted within 90 days of closure unless the Customer asks us to export it first.
  • Billing records: as long as tax and accounting law requires.
  • Contact-form messages: up to 24 months.
  • Backups roll off on our providers’ schedules, typically within 30 days.

7. Security

Data is encrypted in transit and at rest. Each company’s data is separated by database rules, and access inside a company follows its roles (admin, team leader, crew). No system is perfectly secure; if a breach affects your information we will notify the affected Customer and, where the law requires, you.

8. Cookies and similar technology

The app stores your sign-in session in your browser’s local storage so you stay signed in. We use no advertising or analytics cookies. If that changes, we will update this policy first.

9. Your rights

Depending on where you live, including under the Colorado Privacy Act and the California Consumer Privacy Act, you may ask to access, correct, delete or receive a copy of your personal information, and to opt out of sale, targeted advertising or profiling (we do none of these). We will not treat you differently for using these rights. Email privacy@hogwired.pro; we may need to verify your identity, and an authorised agent may ask on your behalf. If we decline, you may appeal by replying to our decision.

10. Children

HogWired is a business tool and is not directed to anyone under 16. We do not knowingly collect their information.

11. Changes

We will post changes here with a new effective date, and email account admins about material changes before they take effect.
